Cancellation Policy

This page explains what happens when a customer cancels a subscription, misses a payment, or needs account restoration.
The policy is aligned with the current business rule that normal cancellation stops future renewals but allows access through the paid billing cycle.

1. Introduction
This Cancellation Policy explains how subscription cancellation, suspension, grace periods, and post-cancellation data retention work for HRM TechGeeta.
The aim is to make the sequence of events easy to understand for customers and payment partners.
2. How subscription cancellation works
Customers may request cancellation of a monthly subscription at any time.
- Cancellation stops future auto-renewals.
- Normal cancellation does not remove access immediately.
- Access continues until the end of the current paid billing cycle.
- After that paid period ends, access is terminated unless the account is reactivated or another agreed arrangement applies.
3. Effect of cancellation on billing and renewals
Once cancellation is recorded, future automatic renewal charges should stop for the affected subscription.
Charges already paid for the current cycle generally remain tied to the remainder of that billing period. Any refund request is handled separately under the Refund Policy.
4. Access after cancellation
Customers keep access through the end of the active paid term. This allows time to finish current work, download records, or plan a move without immediate disruption.
After the paid term ends, the subscription is treated as inactive and normal access ends.
5. Data retention after cancellation
After a standard cancellation, customer data is retained for 30 days.
- During this 30-day period, customers may request deletion.
- During the same period, customers may reactivate without data loss where reactivation is operationally possible.
- After 30 days, data may be deleted or archived in line with our retention practices.
- Certain billing, tax, accounting, or legal records may still be retained for up to 7 years where required.
6. Reactivation during retention period
If a customer decides to continue within the retention period, the account may be reactivated and regular access restored after the relevant subscription payment or account review is completed.
7. Enterprise or custom plan rules
Enterprise or custom plans have more flexible commercial arrangements, but the general operating approach remains similar.
- Customers may cancel at any time under the plan arrangement.
- Access generally continues until the end of the paid billing cycle.
- Data is retained for 60 days after cancellation to allow reactivation or export before deletion or archival.
8. Payment failure and overdue invoice handling
If a payment fails or an invoice becomes overdue, the account is not necessarily suspended immediately.
- A 7-day grace period is provided after payment failure or overdue status.
- During the grace period, reminders may be sent to update payment information or complete payment.
- If payment is not received within the grace period, access may be suspended.
9. Suspension and restoration
Suspended accounts may be restored after successful payment or resolution of the issue that caused the suspension.
Data is generally retained during suspension for up to 30 days before possible deletion or archival. Restoration depends on the account still being within that retention window and on the account being brought back into good standing.
