1. Introduction

This Privacy Policy explains how TechGeeta Solutions collects, uses, stores, and protects information in connection with HRM TechGeeta.

The policy is written for customers, prospects, and payment-gateway reviewers who want a clear view of how data is handled in the product.

2. Who we are

HRM TechGeeta is operated by TechGeeta Solutions, located at Dewan Khana Road, Near Sheesh Mehal, Malerkotla, Punjab, India - 148023.

TechGeeta Solutions is a software services company that also operates product offerings, including HRM TechGeeta. For this product, customer data is hosted in India only, and no cross-border processing is intended for the product.

3. What information we collect

Depending on how you use the service, we may collect and process:

  • account information such as name, email address, username, and password;
  • billing details such as billing name, billing email, mobile number, and billing address;
  • company information and account onboarding or waitlist details;
  • employee records such as names, contact details, designations, attendance data, salary-related data, statutory identifiers, bank details, and compliance-related fields;
  • device and session data such as IP address, browser or device metadata, sign-in activity, and security logs;
  • push notification token data when notifications are enabled;
  • support requests, communication records, and customer service messages;
  • optional encrypted platform credentials that a customer chooses to store in the service.

4. How we use information

We use information to operate and improve the service, including to:

  • create and manage customer accounts;
  • provide HR, attendance, payroll, and compliance workflows requested by customers;
  • process subscription billing and payment records;
  • send product, billing, support, and account-related communications;
  • deliver push notifications when enabled by the customer;
  • monitor security, prevent misuse, and investigate incidents;
  • respond to support requests and service inquiries;
  • comply with legal, tax, accounting, and regulatory obligations.

5. Legal and operational basis in plain language

We process data because it is necessary to run the service you ask us to provide and to manage the business around that service.

  • When you subscribe or use the platform, we process data to deliver the service and manage the account.
  • When you upload employee and business data, we process that information only on the subscriber's instructions to provide the service.
  • We also process some information to meet legal obligations, prevent fraud, secure the service, and keep records required by law.

6. Payments and payment processors

Payments for public subscriptions are processed through Razorpay. Payment information needed to complete transactions is handled through Razorpay's payment systems.

We keep related billing records needed for subscription management, customer support, accounting, and legal compliance. We do not store full card details on our own systems for routine payment processing.

7. Push notifications

If push notifications are enabled, notification token data may be processed through Firebase so notifications can be sent to the relevant device.

Push notifications are optional. If a customer chooses not to enable them, related token data is not required for normal product use.

8. Cookies and analytics on the main domain vs. SaaS subdomain

The main website at techgeeta.com may use cookies and analytics tools for website performance, measurement, or general site operations.

The SaaS product on hrm.techgeeta.com does not use cookies or analytics for tracking or marketing purposes. This distinction is intentional and applies specifically to the SaaS product environment.

9. Data sharing and third parties

We do not sell customer data to third parties.

We may share limited information only where needed to operate the service or comply with law, including:

  • Razorpay for payment processing;
  • Firebase for optional push notifications;
  • internal service providers or personnel who need access to operate, support, or secure the service;
  • law-enforcement bodies, regulators, courts, or government authorities where disclosure is legally required or requested through a lawful process.

10. Data retention

We keep data for periods that are practical for service delivery, security, and legal compliance.

  • Account data: until account deletion or inactivity for 2 years.
  • Billing data: for 7 years to meet legal and accounting requirements.
  • Employee records: until account deletion or inactivity for 2 years.
  • Session and device logs: for 90 days for security monitoring.
  • Waitlist data: until account deletion or inactivity for 2 years.
  • Exported files: until account deletion or inactivity for 2 years.
  • Platform credentials stored by the customer: until account deletion or inactivity for 2 years.

Some data may be deleted earlier where requested and permitted. Some records may be kept longer where law requires it.

11. Data security

We use reasonable measures to protect information, including access controls, secure storage practices, security monitoring through session and device logs, and encryption for especially sensitive stored portal credentials.

Optional platform credentials uploaded by customers are encrypted at rest. Customers choose to upload such credentials at their own discretion.

No system can guarantee absolute security, so customers should also use strong passwords, limit internal access, and review important outputs before relying on them.

12. Customer control and rights

Customers can contact us to ask for:

  • access to information associated with their account;
  • correction of inaccurate or outdated information;
  • deletion of information where deletion is available;
  • export of customer data where reasonably possible;
  • answers to privacy or data-handling questions.

13. Data deletion, export, and correction requests

Requests relating to access, correction, deletion, or export can be sent to hello@techgeeta.com.

We may need to verify the requester's authority before acting on a request. Some information may need to be retained to meet legal, tax, accounting, fraud-prevention, or security obligations.

14. Children's privacy

The service is designed for businesses and is not directed to children as individual consumers. We do not knowingly collect personal data directly from children for consumer use of the service.

If a customer uploads employee or workforce data, that data is processed on the subscriber's instructions as part of the business service.

15. Changes to this privacy policy

We may update this policy from time to time to reflect service changes, legal requirements, or operational improvements. Updated versions will be posted on this page with a revised last-updated date.
